Position Introduction:

Bring performances to life at the University of Oklahoma School of Music! The Concert Hall and Production Coordinator leads the planning, technical execution, and day-to-day operations of dynamic concerts, recitals, and special events. From stage management and livestream production to supervising graduate assistants and supporting renowned guest artists, this role is at the center of every performance experience. Ideal candidates are organized, tech-savvy, collaborative professionals who thrive in fast-paced environments and enjoy hands-on production work. Evening and weekend availability is essential for this opportunity to shape world-class performances and support a vibrant musical community.

The Coordinator of Facilities, Technology & Operations supports the daily function, maintenance, and continuous improvement of the School of Music's facilities, technology, and event operations. This role ensures all spaces are professional, functional, and performance-ready, while developing systems that promote proactive, efficient, and high-quality operations.

Duties and Responsibilities:

Facilities & Operations

  • Ensure all School of Music spaces (Carpenter, Reynolds, Holmberg, and Catlett) are professional, functional, and performance-ready.
  • Develop and implement systems to maintain organized, clean, and efficient classrooms, rehearsal spaces, loading dock, and storage areas.
  • Identify, prioritize, and coordinate needed internal and external repairs and improvements in collaboration with OU Facilities.
  • Develop and manage preventative maintenance schedules for facilities, instruments, and classroom technology.
  • Coordinate custodial and facilities support for special events.

Scheduling & Event Coordination

  • Serve as primary coordinator for classroom and rehearsal space scheduling and optimization.
  • Coordinate course scheduling within the university system.
  • Schedule rehearsals, meetings, and special events.
  • Coordinate technical and logistical execution of School of Music events in consultation with faculty and with approval of the Director.

Technology & AV Support

  • Monitor and manage classroom technology.
  • Troubleshoot issues and coordinate with central IT as needed.
  • Schedule repairs and plan upgrades.
  • Provide basic support for faculty and staff technology needs.

Inventory & Systems Management

  • Maintain and regularly audit the inventory of instruments and technology.
  • Coordinate piano tuning and maintenance.
  • Manage MUED and specialty instruments in collaboration with faculty.
  • Plan for repair, replacement, and long-term equipment needs.
  • Develop and maintain standard operating procedures, checklists, and documentation.

Student Supervision

  • Recruit, train, and supervise graduate assistants and student workers.
  • Support instrument inventory, locker management, and event/technology operations.

Required Education and Experience:

  • High School Diploma or GED.
  • 12 months office, clerical, or administrative experience.

Department Preferences:

  • Experience with audio recording, video production, or live-streaming.
  • Ability to support marketing and recruitment through documentation of performances and events.
