Pay Range: Targeted salary up to $15.86 per hour, based on experience

Benefits Eligible: Yes

Work Schedule: Monday - Friday, 7:30 a.m. to 4:00 p.m.

Position Introduction:

The Materials Management Department is seeking an Inventory Associate to support inventory control, receiving, reconciliation, and vendor payment processes. This position plays a key role in ensuring inventory receipts, purchase orders, packing slips, and invoices are accurately verified and submitted to Accounting for timely payment of suppliers and contractors.

In this position, you will:

  • Verify inventory receipts and match packing slips, purchase orders, and invoices.
  • Reconcile discrepancies related to inventory orders, invoices, shortages, and supplier payments.
  • Coordinate with vendors and suppliers to resolve receiving and billing issues.
  • Maintain organized invoice and inventory records.
  • Process and update inventory transactions in the AiM system.
  • Perform cycle counts and inventory adjustments to maintain accurate inventory records.
  • Participate in annual physical inventory counts.
  • Prepare inventory-related reports, including supplier fill-rate analyses.

Work Environment: This position is primarily sedentary with occasional inventory counting and warehouse activities. The role requires collaboration with suppliers, Accounting, and Facilities Management staff to ensure accurate inventory records and timely vendor payments.

Required Education and Experience:

  • High School diploma or GED.
  • 24 months experience in inventory control and/or material management, procurement or closely related experience.

Required Certifications and Licenses:

  • Valid Oklahoma Driver's License in order to drive University vehicles or ability to obtain within 30 days from hire date.

Department Preferences:

  • Experience in inventory control, materials management, purchasing, or accounts payable preferred.
  • Strong attention to detail, organizational skills, and analytical abilities.
  • Proficiency with inventory management systems and Microsoft Office applications.
