Position Introduction:

Gaylord College of Journalism and Mass Communication is seeking a highly qualified candidate to join our team as the Administrative Supervisor of Facility and Equipment. Gaylord Hall includes more than 100,000 square-feet of high-tech classroom presentation, studio, and lab space as the number one media program in nation by the Broadcast Education Association.

The Administrative Supervisor of Facility and Equipment is an essential team member with production equipment expertise who will oversee facility needs, maintain equipment and property, and play a vital role in the success of the college pedagogy.

Essential Responsibilities:

  • Manages daily administrative operations of facility and equipment management for the college, including scheduling, correspondence, and associated record-keeping.
  • Serves as liaison between the college and other university offices, including facilities management and safety offices.
  • Acts as main point-of-contact, managing communication for facility and/or equipment related inquiries.
  • Represents the college in all equipment-related discussions, serving as liaison between students, college, and the faculty to provide the students with gear that matches their needs.
  • Coordinates facility needs with Facilities Management and/or vendors, to include monitoring general needs for building repair and maintenance as well as any space renovations.
  • Acts as building safety coordinator as the point of contact for building security issues, including responding to inquiries and facilitating information flow between faculty, student, and university offices.
  • Oversee college room reservation scheduling system and space rentals, including associated communication and coordination of invoices.
  • Administrative management of the college equipment rental program, including hiring, training, and managing student employees.
  • Develop, implement, and enforce procedures and standards to optimize workflow and ensure compliance with college and university goals.
  • Supports budgeting as equipment manager, including processing of order in coordination with financial staff.
  • Monitors and reports on equipment and usage metrics, including workflow, productivity and resource allocation.
  • Maintains a complete, active, and up-to-date inventory of facilities, gear, and other resources.
  • Assists in preparation of reports, proposals, and documentation required by university administration, including but not limited to college annual asset management report.
  • Coordinate and host meetings, workshops, or demos to teach students how to operate the equipment available for checkout, both in small groups and in one-on-one lessons.
  • Train students and new faculty members in the studio and its technology and equipment, including audioboards, lighting systems, and in-studio camera and camera-ops equipment.
  • Perform minor repairs and maintenance on all equipment and provide support for broadcast operations as needed.
  • Leads special projects related to facility and equipment management initiatives as assigned. ¿ Performs related duties as assigned or as required to successfully fulfill functions of the position.

Required Education and Experience:

  • Bachelor's degree
  • 3 years of office management, administrative experience, or related field

Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree. 

Required Certifications and Licenses:

  • None

Department Preferences:

  • Experience working with facilities management
  • Experience working with camera equipment and/or broadcast technology
  • OU or higher education experience
  • Experience working with faculty and students
