Position Introduction

The Collections Management Specialist, Western History Collections, is a 2-year term position that will perform collection rehousing, collection description, inventorying, and data entry tasks to improve the storage and management of distinctive archival collections of enduring research value housed in the University Libraries, Western History Collections. The work will aid major preservation and collection relocation initiatives to support the long-term stability of archival materials in the libraries. The Collections Management Specialist will closely follow established descriptive standards and workflows to create and enter data about collections into spreadsheets and web-based collection management databases. The position will physically rebox and move collections within individual library facilities to support the improved storage of archival assets. The Western History Collections is a collecting area within the University Libraries, Special Research Collections that preserves and provides access to distinctive primary source resources documenting the history of the American West. The position will work across multiple library facilities on the campus of the University of Oklahoma, including Monnet Hall, the Library Service Center, and Bizzell Memorial Library. The successful candidate will be required to have the following skills:

  • Ability to perform highly detail-oriented tasks and coordinate with appropriate personnel as required
  • Highly organized and able to handle multiple projects simultaneously
  • Ability to accurately create and record data in accordance with outlined standards and procedures
  • Ability to build and sustain effective interpersonal relationships and work collaboratively in a fast-paced environment
  • Ability to communicate effectively, orally and in writing.
  • Ability to work with minimal supervision on daily tasks and complete work within deadlines.
  • Proficient in Microsoft Excel, Microsoft Word, Microsoft Outlook.
  • Ability to work in stressful situations and meet deadlines in a timely manner
  • Ability to climb stairs, lift/carry up to fifty pounds, push loaded carts, and engage in regular bending, stretching, reaching, and stooping. Ability to sit and/or work at a computer monitor for up to eight hours.
  • Ability to work in dusty and/or humid environments. Personal protective equipment will be provided.

Required Education and Experience

  • High School Diploma or GED.
  • 24 months office, clerical, or administrative experience.

Required Certifications and Licenses

  • Valid driver's license may be required for work in certain areas for the performance of specific job duties.(Candidates assigned to locations requiring vehicle operation must possess and maintain an active, valid driver's license)
