Position Introduction:

The Online Graduate Student Support Specialist works closely with the Online Program Area Coordinators to assist with coordination of the programs. The individual chosen for the position will support students and faculty in a variety of online related tasks, including but not limited to those listed below. They serve as the key point of contact for online prospective, admitted, and current graduate students; assist faculty with graduate student paperwork and problem solving; disseminate policy information to faculty, staff, and graduate students throughout the JRCoE; and support marketing and recruitment efforts for JRCoE graduate programs by assisting with prospective student outreach, communications, informational materials, and coordination of recruitment activities. The individual chosen for the position is expected to perform these and other relevant tasks promptly, reliably, and accurately and to serve as the liaison between the college, OU Online, and OU Education Services.

Online Graduate Programs Support:

  • Assist Online Program Area Coordinators, OU Online, and OU Education Services with course projections and scheduling, and coordinate scheduling with relevant Department, College, and University staff.
  • Coordinate online student admissions processes, to include forwarding applications for review by faculty and entering admissions decisions into the OU admission system (currently SLATE).
  • Maintain a current database of admitted and enrolled students in online programs.
  • Coordinate maintenance of student records.
  • Assist with student questions and queries, forwarding relevant questions to the appropriate entity (Online Program Area Coordinators, faculty, etc.).
  • Increase contact on an individual or small group basis across all cohorts to further student connection with program and University and improve student experience and retention.
  • Ensure students are engaged and feel part of the community, address trouble areas early, and offer assistance as an additional benefit befitting an executive level program.
  • Assist with relevant Graduate College issues for Online students.
  • Assist with relevant Online processes and procedures among OU Online, OU Education Services, Online Program Area Coordinators and other relevant entities.
  • Coordinate and attend various OU Online meetings and maintain and distribute meeting summary notes as needed.
  • Coordinate student graduation processes, including admission to candidacy, submission of student comprehensive examinations, processing of examination results paperwork, notifying examination results and feedback to students, etc.
  • Coordinate meetings of external stakeholders and/or advisory board, with Department Chairs and OU Online Program Area Coordinators.
  • Monitoring of MOUs with LEAs.
  • Other duties in support of students in online programs, Online Program Area Coordinators, faculty, etc. as assigned.

JRCoE Graduate Programs Recruitment:

  • Development and dissemination of recruitment materials and content for various outlets available to the college (e.g., Facebook, Instagram, LinkedIn, mail outs, email, tabling)·
  • Facilitate and support recruitment and retainment efforts aimed at online and in-person prospective, admitted, and enrolled graduate students.

Required Education:

  • Bachelor's degree.

Equivalency/Substitution: Will accept 48 months of equivalent experience in lieu of a Bachelor's degree.
