Position Introduction:

The Office of the Registrar serves as the central hub for academic administration at OU. The office maintains the integrity, accuracy, and confidentiality of all student academic records and provides essential services such as course registration, degree navigation, classroom scheduling, academic calendar coordination, transcript evaluation, diploma production and FERPA compliance that support students, faculty, and academic units across the institution. We seek individuals who exhibit integrity, care, intentionality, and innovation.

Under general supervision, this position will provide consistent procedures for processing student records requests, transcript services, verification requests, licensing documentation, customer service functions, records imaging, and front desk operations while maintaining compliance with FERPA and University policies.

Job Duties: 

  • Processes routine student and academic record requests, including enrollment verifications, official transcripts, letters of good standing, loan deferment documentation, professional licensure forms, and other Registrar-related documentation.
  • Reviews requests for completeness and accuracy, retrieves and updates student records as appropriate, and communicates with students and University offices to resolve issues and complete requests in accordance with University policies and FERPA requirements.
  • Provides professional and responsive service to students, faculty, staff, and other constituents by answering and directing phone calls, monitoring and responding to voicemails, assisting visitors, and providing information regarding Registrar services, processes, forms, and deadlines while sitting at the front desk reception area.
  • Serves as a primary point of contact for routine Registrar inquiries and directs specialized questions to the appropriate staff or University office.
  • Monitors, organizes, prioritizes, and responds to the shared Registrar email inbox, ensuring inquiries are appropriately addressed or routed to the appropriate staff member.
  • Maintains timely communication and follows up on outstanding requests while ensuring student information is handled confidentially and in accordance with University policies and FERPA requirements.
  • Supports enrollment-related Registrar processes by reviewing, preparing, and processing documentation associated with student enrollment and status.
  • Assists with enrollment verifications, student status, academic records, and other official documentation while coordinating with internal University offices to ensure requests are completed accurately and timely.
  • Provides administrative support for the daily operations of the Office of the Registrar Health Campus, including scanning, indexing, filing, maintaining electronic and paper records, preparing routine correspondence and documents, and monitoring work queues.
  • Assists with Registrar projects and process improvements while maintaining the confidentiality and integrity of student records.

  • 12 months of office/clerical experience.
