Pay Range: Targeted salary of $7.50/hr, based on education and experience.

Position Introduction:

Reporting to the Volleyball Director of Operations/Technical Coordinator, the Volleyball Student Office Assistant will provide administrative, operational, and event support for the Volleyball program. This position assists with team travel logistics, business office functions, recruiting operations, student-athlete support, and daily program administration, including data entry, inventory management, and organization of team resources. The Volleyball Student Office Assistant will also help coordinate special events, alumni and donor engagement activities, community outreach initiatives, and recruiting visits. This role offers hands-on experience in collegiate athletics operations while supporting the day-to-day success of a nationally competitive volleyball program.

Essential Functions:

  • Business Office:
    • Organizing and matching receipts in Concur
    • Expense reports consisting of per diem
  • In-Season Athlete Care:
    • Organizing and planning meal orders for home and away matches
    • Uploading meal invoices
    • Preparing class excuse forms, per diem requests, and travel party forms
    • Assist with preparing itineraries, schedules, handouts, name tags, signage, and packets
    • Help organize travel binders and itineraries
    • Track confirmation numbers, rooming lists, meal information, and transportation details
    • Assist with ticket requests
  • Daily Operations:
    • Data entry of data collected from practices, primarily focused on subjective data and serve speed provided by staff
    • Collection of mail and packages for Volleyball program
    • Keep an inventory of equipment, promotional materials, etc.
    • Oversee supplies in the Office/Techroom/Teamroom/Locker room, track, organize, and recommend ordering as needed
    • Maintain roster information, birthdays, emergency contacts, sizes, etc.
    • Help organize team events, banquets, senior night, alumni weekend, and community events
    • Help manage special events surrounding home matches
  • Recruiting:
    • Prepare recruiting itineraries and welcome materials
    • Help with hotel, restaurant, meeting-space, and campus-tour logistics for visits
    • Stuffing, addressing, and mailing out recruiting mailers (Year-round)
    • Oversee and tag recruits emailing the OU recruiting email
    • Support overall recruiting organization and touchpoints
  • Alumni, Donor + Community Support:
    • Maintain community and alumni contact databases
    • Coordinate donor/alumni mailings and invitations as needed
    • Help with donor thank-you notes and stewardship materials
    • Assist with donor/alumni hospitality
    • Organize and support community-service logistics

Required Education and Experience:

  • Must be currently enrolled in the Fall 2026 Term as an undergraduate student at the University of Oklahoma.
  • Hiring contingent upon verification of current student status.
